How to Write a Maintenance Work Order Vendors Actually Follow
Jun 30, 2026 · By Site Administrator · 1 views

Write clearer maintenance work orders—location, priority, photos, access instructions—so vendors finish correctly the first time.
Vague work orders create callbacks. Great work orders make good vendors look great.
Include every time
- Site address and suite/unit
- Contact on site (or lockbox / alarm notes)
- Problem statement in plain language
- Priority and deadline
- Photos or short video
- After-hours required? Yes/No
Example
“Suite 210 corridor — paint scrape 3' left of restroom door, about 6" wide. Match existing white. Building open 7–6; after-hours OK if needed. Photos attached.”
Clients can submit structured requests through our client portal (CRM login).
